Last Updated: October 2026. This policy explains what information we collect from Kirinyaga University students, how we use it to organize gaming leagues and issue Carry1st rewards, and how we protect your privacy.
We collect only the bare essentials (your name, student registration number, WhatsApp number, and Carry1st email) so you can join match lobbies, claim tournament prize points (CDP), and receive campus gaming announcements. We never sell your data, spam your inbox, or share your private contact information with third-party advertisers.
1. Information We Collect
When you register for the KyU Esports Club and Tribe Campus events, we collect:
- Identity & Verification: Full name and student registration number (e.g., CT101/G/XXXXX/XX) to confirm you are an active Kirinyaga University student.
- Contact Details: Your institutional student email (@students.kyu.ac.ke) and WhatsApp phone number to send match notifications, tournament schedules, and channel invite links.
- Gaming Profiles: Your chosen competitive title (e.g., eFootball Mobile, CODM, PUBG Mobile, or Fun Rooms) and game handles/in-game IDs (IGNs).
- Reward Account: The email registered with your Carry1st Shop profile to route Carry1st Discount Points (CDP) and digital prize redemptions.
2. How We Use Your Data
Your data is collected and processed strictly for the following purposes:
- Organizing university tournaments, seasonal leaderboards, and inter-university scrimmages.
- Routing you into your primary game division's moderated WhatsApp group.
- Crediting tournament prize earnings and event incentives via Carry1st Discount Points (CDP).
- Verifying student eligibility for athletic certificates and leadership recognition letters issued with the Directorate of Sports.
- Preventing smurfing, ringers, and unauthorized multi-accounting in campus tournaments.
3. Data Sharing & Third Parties
We treat your information with high confidentiality. Data is only shared under specific operational conditions:
- Tribe by Carry1st: Member counts, tournament participation sheets, and Carry1st email identifiers are synchronized with the Carry1st Tribe Campus database to calculate regional tier allocations and credit points directly to your wallet.
- Kirinyaga University Administration: Aggregate roster lists and active member tallies may be reviewed by student affairs and the sports directorate to certify official campus club status.
- WhatsApp & Meta Platforms: By joining division WhatsApp lobbies, group members will see your profile name and phone number as per default WhatsApp group mechanics.
We do not sell, rent, or trade student contact information or personal data to outside brokers or commercial advertisers.
4. Data Retention & Security
Registration credentials are kept securely in encrypted storage accessible only to designated KyU Tribe campus leaders and verified system administrators. Records are maintained for the active academic year to preserve tournament standings and reward distribution history.
5. Your Rights & Data Requests
As a student, you retain full rights over your information:
- Review & Correction: You may verify or request updates to your registered phone number, preferred game, or Carry1st email at any time.
- Roster Removal: If you graduate, transfer, or wish to opt out, you can request complete removal of your records from the roster database.
